This unique admin role offers you the opportunity to play an important part in supporting both business and HR operations for Par Pacific's refinery and pipeline in Wyoming. The Requirements

To meet the basic qualification for this role, you will have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. In addition, to be a good fit for the Office Administrator opportunity, you will have:
  • 3-5 years of experience in an office administration position requiring strong interpersonal skills and direct contact with leadership, team members and external contacts  Quick question for you - click here
  • General HR experience is preferred, however, we will train a high performing office admin with the drive and desire to learn HR, and the professionalism to be trusted with confidential information  Quick question for you - click here
  • Ability to support multiple leaders and tasks/projects from gatekeeping to scheduling, open enrollment support and more
  • Strong basic mathematical ability and a natural sense of numbers; basic accounting skills are a plus
  • Solid computer skills including intermediate ability with MS Office Suite applications, particularly, PowerPoint and Excel (e.g VLOOKUP, pivot tables, formulas, etc.); SAP and/or UltiPro experience are a plus
  • Strong spelling, punctuation and grammar skills
  • A high school diploma or GED equivalent required; college coursework, an associate’s or bachelor’s degree preferred; certifications are a plus.

The Role

Reporting to the HR Manager, as Office Administrator, you will take ownership of a hybrid position in which you'll spend approximately 60% of your time supporting the business through your admin work and 40% on HR tasks and projects. Through a wide range of job responsibilities, you will support the leadership team in Newcastle, including six executives, and local pipeline and refinery operations. Additionally, you will interact with the Retail Group in Washington and Idaho and support the retail business. A sampling of your responsibilities includes:

Office Administration
  • Answering, screening, and directing incoming calls; gatekeeping
  • Responding to routine information requests
  • Maintaining calendar including scheduling meetings/appointments
  • Assisting with executive travel arrangements
  • Generating and delivering reports; maintaining data
  • Logistics and other documentation related to the business
  • Building presentations in PowerPoint
  • Supporting invoicing/billing; matching invoices
  • Managing ad-hoc tasks as they arise
  • Filing
  • Scheduling lunches for delivery or pick-up
  • Office supply ordering
  • Tracking vendor contracts (cleaning company, HVAC, locksmith, etc.)
Human Resources
  • Assisting with the administration of employee benefits
  • Building HR packets
  • Maintaining employee files
  • Supporting open enrollment
  • Helping create presentations
  • Assisting with the planning and execution of special events
  • Assisting with employee events and engagement activities
  • Processing new hire, status change, and termination paperwork
