The Requirements

To meet the basic qualifications for this role, you will have:
  • Authorization to work permanently in the U.S. for any employer for any length of time, without requiring a visa transfer or visa sponsorship. 
  • A high school diploma or GED equivalent. 
To be a good fit for the HSSE Administrative Assistant opportunity, you should have:
  • Previous administrative / clerical experience is preferred but not required. We will also consider college graduates with applicable internship and/or educational experience. 
  • Excellent interpersonal and communication skills, including the ability to communicate between many individuals and departments in the company in order to maintain an effective records management system.

Good filing skills and proficiency in computer applications, such as Excel, Word, PowerPoint, Access, and the ability to learn new database systems, such as Safety Manager.

The Role

Reporting to the Manager, PSM, as the HSSE Administrative Assistant, your mission will be to support the company’s vision that “Success is NO Accident” by effectively maintaining the records required to document compliance with HSSE training, monitoring, and inspection programs. You will be involved with everything from entering Management of Change (MOC) data into our database system to inputting vehicle inspection records and safety meeting attendance records. On a monthly basis, you will send out various reports and metrics to ensure we are always in compliance and up-to-date with record keeping. Quick question for you - click here

In addition to your record keeping and clerical duties, you will also have responsibility for facilitating and maintaining some safety programs as assigned by the Manager, PSM. This will include one-on-one and small group trainings for contractors and other site visitors. 

This is a visible role, and you can expect to partner with a variety of contacts throughout the refinery including our Environmental Site Manager and our HSSE Trainer. 

Your primary duties will include: 
  • Records Maintenance:  You'll have primary responsibility to maintain both the hard copies and electronic copies of the various training, monitoring, and inspection programs directed by the HSSE Department.
  • Monitoring of Safety Database:  Conduct routine monitoring of HSSE databases, such as MOC and PHA tracking database, and issue periodic updates on outstanding items.
  • Oversight of Assigned H&S Programs:  Oversight of various Health & Safety programs assigned by the HSSE management, such as maintaining the fire resistant clothing program and routine calibrations of monitoring equipment.
